Exam preparation sites have been created to provide subject coordinators with a protected environment to prepare online exams. It is recommended to use an exam preparation site when building your timed-LMS and AI-invigilated exams. However, if you have already started building your exam directly into the subject site, there is no need to move it at this stage.
What is an exam preparation site?
Exam preparation sites are created for Subject Coordinators to design an online exam for use in UTSOnline or Canvas
No content is copied from existing UTSOnline or Canvas sites
Only the Subject Coordinator has automatic access to the site
Subject Coordinators may grant access key staff involved in the preparation, quality assurance and administration of the exam. In most cases only the Subject Assessor and select faculty admin staff should have access to the site
We recommend building your exam in the preparation site before transferring it to the existing subject site
Exam content should never be shared by email. Instead, please use Microsoft Teams or OneDrive if you need to share exam content outside of Canvas or UTSOnline with a Subject Assessor.
Prepare an exam in a preparation site
Access your exam preparation site through the course navigation of Canvas or UTSOnline. It will appear as ‘EXAM PREP – SUBJECT ID – SESSION’
When you are ready for the exam to be reviewed, grant Teacher (Canvas) or Instructor (UTSOnline) roles to key staff who need to view your exam such as Subject Assessors or faculty admin.
Ensure the exam is reviewed and approved by the Subject Assessor.
Before transferring exam to main subject site, remove any staff accounts on the main subject site that are not essential for the exam period to improve the security of the exam content (access can be re-added after the exam period).
Use the instructions below for either Canvas or UTSOnline to transfer the quiz from the preparation site to the main subject site.
Exporting the exam from the UTSOnline preparation site
To export the Test:
Navigate to ‘Tests, Surveys and Pools’ under ‘Subject Management’ on the main menu of your preparation site, then select ‘Tests’.
Hover the mouse pointer over the Test that you want to transfer, then click on the chevron to open the menu . Select ‘Export’ from the menu – the Test file will download to your computer.
Importing the exam to your UTSOnline subject site
Do not use the imported Test canvas to create the exam in the subject site. Special Provisions for students with accessibility needs may already have been added to the final exam by SAU Exams.
Finalise the exam content by adding the imported questions to the existing final exam. This can be done by:
Copying questions from the imported Test into the final exam or
Inserting sets of questions from imported Pools
A combination of both methods
Navigate to Tests, Surveys and Pools under Subject Management on the main menu of your subject site
Select Tests, then Import test
Click on Browse My Computer and select the Test export file from the location you saved it to on your computer
Click Submit. The message “The operation import has completed” will be displayed
Imported Tests that contain question sets will include copies of the Pools that the questions are drawn from. The prefix (Imported) will added to the name of any imported Pool.
Adding imported questions content to the final exam
Add imported questions to the final exam by either:
Copying one or more questions from the imported Test or
Creating Question Sets based on imported Pools
To add questions you will need to access the final exam:
Locate the final exam in UTSOnline. The final exam will be labelled in the format “Final Exam – Subject Code – Session”
Hover the mouse pointer over the final exam, then click on the chevron to open the menu.
Select ‘Edit the Test’ from the menu
To add questions open the the Reuse Question menu and choose either:
Transfer an exam from an exam preparation site to a course site in Canvas
Do not use the imported Quiz to create the exam in the subject site. Special Provisions for students with accessibility needs may have been added to the final exam by SAU Exams.
Finalise the exam content by:
Importing the relevant Question banks from the preparation site
Adding the imported questions to the existing final exam
In the Home ‘Import course content’ from the right hand menu.
Select Copy a Canvas course from the dropdown menu.
Enter the title of your exam preparation site then select it from the list
Click the option to ‘Select specific content’
The subject title will appear in the Current jobs section
Click Select Content
Select the Question Banks you want to import under Question Banks, then click Select content.
Questions not allocated to a specific Question Bank will be automatically added to the Unfiled Questions Bank. Importing a Question Bank called Unfiled Questions may result in two Banks called Unfiled Questions in the same course.
Consider renaming the imported Question bank to avoid errors when choosing questions for the final Exam.
Progress messages will be displayed until the process is Completed, usually in a few minutes.
Copying questions into the Final Exam in Canvas
Questions may be added to a Quiz either:
As part of a Question Group.
To add individual questions from a Question Bank:
Open the Questions tab from within the Canvas Quiz, then Click Find Questions
Check that the Question Bank you are adding questions from is located in the same site as the Final Exam.
Choose the Question Bank that you wish to add the questions from
Select one or more questions to add
Ensure [No Group] is selected
Click Add Questions. The questions will be added to the Quiz
To add a Question Group from a Question Bank:
Open the Questions tab from within the Canvas Quiz, then Click + New Question Group
