To ensure students have a consistent space to find their Zoom links before class, page templates with suggested text have been created for use in Canvas subjects. On this page, we explain how to use these templates and give guidance on sharing Zoom links via the Canvas Calendar.
Sharing a link in the ‘Get Started’ module
There are two template pages, one for large classes (multiple tutorial groups) and one for smaller cohorts. These templates are specific to your faculty. If you do not have access to your Faculty template course, please request access using this form.
All Canvas subjects with online classes using Zoom should have the ‘Accessing your online classes with Zoom’ page within the ‘Get started’ module.

4 steps to using Zoom page templates
- Subject coordinators need to copy the template page into their Canvas course – we recommend adding this page between the ‘Subject resources’ and ‘Get started with UTS Library’ pages in the ‘Get Started’ module.
- Complete the table with the relevant information. For larger classes, we recommend including the Tutorial group, Tutor, and the Class time (both week day and time if regularly scheduled). For smaller classes or irregularly scheduled classes, we have suggested also including the teaching week if you are using a different Zoom link for each session.
- Once the table is completed, ask your tutors to schedule their Zoom classes for the session. For regularly scheduled classes, we recommend scheduling recurring sessions so that the Zoom links are consistent for the session. Tutors or the subject coordinators then need to add the relevant Zoom url links to the Zoom link column.
- Add instructions for students to the ‘How to be successful in this subject page’ in the ‘Get Started’ module under the heading ‘Delivery’. We have added some suggested text to personalise below.
If you don’t need to make separate Zoom meeting links for each class or multiple tutors, creating and managing Zoom meetings within Canvas is easier and automatically creates meeting events with links in your students’ calendars by subject.

Delivery
This subject is delivered in blended mode and includes online classes using Zoom. You will find links to these online classes on the ‘Accessing your online classes with Zoom’ page [link] within the ‘Get Started’ module.

[Optional if Calendar links provided] Your Tutor will also create a calendar item within Canvas with links to your Zoom session. This will provide you with a reminder on the dashboard and within the Canvas Calendar for upcoming online classes.
Sharing a link in the Canvas Calendar
As well as sharing the Zoom link for classes using the Accessing your online classes with Zoom templated page, tutors can share Zoom links using a calendar event in Canvas for each tutorial section. While this is optional, it provides a number of benefits to students, for example:
- reminders on the Canvas Dashboard and Calendar for upcoming events
- can be synced with other web service calendars (eg. MS Outlook)
- notifications via Canvas app (needs to be turned on by students)
- students can see class timetable on Canvas calendar at a glance

- Schedule your Zoom classes for the session using recurring sessions so that the Zoom links are consistent for the session. Have the url address for the Zoom class handy to paste into the Canvas event.
- Go to Canvas and navigate to the Calendar tool in the global navigation.
- Click on the Add icon.
- Add a title and date [1] for the event, leaving the time and location blank.
- In the Calendar drop-down menu [2], select the course calendar for the event. Click the More Options button [3].
- Provide the Zoom url link and any additional information in the rich content editor [1], and click the ‘Use a different date for each section’ checkbox [2].
- Set the section date and time for the relevant tutorial section. Only create events for your tutorial section [3].
- Optional step: For recurring events click the ‘Duplicate‘ checkbox [4] and update the relevant occurrences – you can also choose to number each event [5].
- Click the ‘Create Event’ button to save [6].
- View the events in your course calendar. Each section will have a separate Calendar event.
